    Why does the job exist?

    Serves the Library for the Blind and Print Disabled (LBPD) as primary Reader Services coordinator and content curator, Keystone database administrator, volunteer services support coordinator, technical support, and program services publicist.

    How does it get done?

    Acts as a liaison between Library for the Blind and Print Disabled (LBPD) and Keystone, fostering effective communication and collaboration to enhance overall operational efficiency. Collaborates closely with staff to develop best practices and workflows, optimizing organizational processes. The role involves running queries and generating reports from the KLAS database, ensuring data-driven decision-making.

    Conducts a thorough review of all new titles added to the program. Works diligently to identify and maintain local subjects based on patron needs. Takes charge of loading new records and content ratings. Maintains record accuracy, focusing on series sequencing and heading accuracy. This position involves the creation of reading lists, starter sets, and genre reviews.

    Beyond operational tasks, the position requires periodic coordination with media outlets to communicate volunteer support opportunities within LBPD. Provides support to Reader Services, particularly in areas such as player inventory and distribution. Plays a pivotal role in editing and printing the quarterly newsletter and occasionally conducts in-person and recorded training sessions on LBPD services, with a specific emphasis on BARD usage.

    Who are the customers?

    New Mexico residents who are eligible for audiobook and braille services based on disability determinations.

    Ideal Candidate

    Associate's degree or higher in administrative or library related field; four (4) or more years of experience in a library, business or related service occupation; experience in knowledge areas such as customer and personal service and communications and media.

    Minimum Qualification

    Employment Requirements

    SUMMARY

    The Deputy Library Director assists the Library Director in the management of various activities and operations within the library, which may include, library system management, library branch management, library program coordination, support services, circulation management, fiscal services, technical services, digital services, and the Integrated Library System; coordinate and plan program functions for the library; coordinate and assign activities with other departments, divisions, or outside agencies; provide highly responsible and complex administrative support to the Library Director.  

    EDUCATION

    Interaction with Groups/Agencies/Entities:

    External:  Works closely with library system staff, with public schools teachers and administration, outside vendors, and state and national library association members to coordinate efforts and provide programs.  Works with community organizations and the general public in promoting library services and collections.  Answers reference queries and assists library customers in locating and using library materials both on the shelves and on-line.  Presents a courteous and friendly image for the City with the general public.

    ESSENTIAL FUNCTIONS

    • Assists in the management and administration of various activities and operations within the Library Department which may include, library system management, library program coordination, support services, circulation management, fiscal services, technical services, digital services, and the Integrated Library System.
    • Assist in establishing appropriate service and staffing levels; monitor and evaluate the efficiency and effectiveness of service delivery methods and procedures; recommend, with the section, appropriate service and staffing levels.
    • Studies, recommends, and implements policies and procedures to improve Library and employee productivity.
    • Assist in the management of Capital Improvement building projects for the library department.

    • Participates in the creation and regular revisions of library planning documents, including Library Strategic Plan, Master Plan, Collection Development Plan, and Library Technology plan.  Is responsible for ensuring implementation of these plans at assigned section level.
    • Review organizational budgetary, personnel and operational demands with departmental management staff; propose solutions and recommended courses of action.
    • Select, train, motivate and evaluate library personnel; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline and termination procedures.

    RESPONSIBILITIES

The Learning and Outreach Services Librarian will:

    RESPONSIBILITIES

    Administration/membership

    • Serve as the first point of contact for the association. Maintain communication with existing and new NMLA members and the board through phone, official NMLA email, NMLA zoom account, and the Wild Apricot membership software. Employ voice messaging to approximate real time response during business hours. A separate phone line will be answered “New Mexico Library Association”.

    • Route all communications promptly to appropriate persons within NMLA.

    • Collect mail from NMLA PO Box bi-monthly, and weekly in the month leading up to the annual conference. 

    • Process all incoming checks into appropriate bank accounts and provide scanned receipts to NMLA Treasurer via email.

    • Work with the membership chair to track online membership payments, approve new member applications and add new members to the NMLA listserv.

    • Provide membership, special interest group and committee reports with current member lists, as needed.

    • Assist treasurer, membership, and committee chairs with board approved tasks.

    Board support

    • Attend Executive Board meetings to be knowledgeable about NMLA business.

    Website/social media

    • Support webmaster in posting new job vacancies to the NMLA job board.

    Conferences/event coordination

    • Assist Members-At-Large with mini-conference arrangements, if scheduled; e.g. registrations and communication with members and vendors.

    • Maintain a current list of active and potential library-related vendors and their contact information.  Communicate with vendors and solicit vendor registrations and support prior to conferences.

    • Solicit sponsorships, program advertisements and scholarship funds (if applicable).

    • Assist conference chairs with duties and tasks associated with the conferences; e.g., pre-conference registration, Zoom meeting moderation, exhibitor relations, collection and deposit of booth fees into NMLA accounts, forwarding paperwork to proper individuals, ensuring the exhibitor's logistical needs are met.

    • Conference on-site management services include liaison with venue operators, exhibitors, and the NMLA officers, members, and attendees.

    GENERAL PURPOSE

    Works under the general supervision of the Library Services Director performing coordination of Children's Department duties as needed to expedite the delivery of public library services, including programming, circulation, periodicals, collection development and acquisitions.

    SUPERVISION EXERCISED

    Provides general supervision to children's department activities and volunteers on a project-by-project basis.

    ESSENTIAL FUNCTIONS

    Performs complete circulation support duties; checks for damaged materials; retrieves book-drop materials; operates computer to enter and update patron records; identifies patron status in relation to obligations, i.e., fines, and communicates the same to patrons; follows established guidelines in allowing waiver of fines; takes and processes library applications, and issues library cards

    Assists patrons with computer operations; provides general reference assistance; assists with computer classes as needed; performs regular upkeep on library equipment and machines, i.e., photocopiers, computers; assures proper supply of paper, replaces toner, removes paper jams, etc.; provides general instructions to patrons in equipment operations; sends and receives fax communications.

    Acts as a reference librarian; provides general assistance to patrons by directing them to various locations in the library as needed; performs as a telephone operator on a regular library shift; receives and routes telephone calls in assisting the calling public.

    Acts in a supervisory capacity in the children's department, assists with the on-going monitoring of children's collections or special function (i.e., interlibrary loan); performs general collection upkeep and maintenance; repairs damaged materials, discovers and replaces missing items; in-process new materials (i.e., periodicals), assures proper labeling and completes computer documentation verifying collection status; assists patrons submit interlibrary loan requests; monitors requests and packages materials for return as required.

    Develops and presents, with assistance from other staff, children's programming for the library. Has major role in developing preschool, school, and teen programming for the summer with emphasis on the annual summer reading program.

    Performs general and routine duties related to the sorting, shelving and re-shelving of library collection materials, including books, magazines, newspapers, multimedia, etc.; performs shelf reading to monitor the accurate placement of materials; monitors collection for damage and needed repairs; perform routine mending, etc.

    Develops and maintains effective community, municipal, and media relations; establishes and maintains relationships and alliances as needed to promote and accomplish organizational mission and objectives, communicates official plans, policies and procedures to management, staff and the general public.

    Performs routine materials filing,.; assist the public with technology; assists with the preparation and mailing of overdue and billing notices; sorts items for delivery to correct location in the system.

    Participates in general library housekeeping, participates in children reading programs; sets up display windows and cases; creates promotional material, flyers, posters, bookmarks, signage, displays, and decorations for events.

    Performs other related duties as required.

    MINIMUM QUALIFICATIONS

    1. Education and Experience: Graduation from high school; plus two (2) years of specialized training, Bachelor's Degree, or an Associate's Degree in Library Science, general studies, or related field; AND Two (2) years of children's library experience performing above or related duties; OR An equivalent combination of education and experience.

    2. Knowledge, Skills, and Abilities:

    Working knowledge of library reference, circulation, cataloging and classification methods, practices and procedures; Dewey Decimal System; various areas of specialization of material related to different patron groups; reader interest levels; interpersonal communication skills. Some knowledge of various specialty routines, methods, processes and procedures related to circulation, periodicals, and technical services; software applications, i.e., Microsoft Office; Publisher, various types of inter-related equipment, specifications and compatibility; specialized library system elements, i.e., INNOPAC, OPAC, MARC records, subject headings, authority records, Boolean searching, etc.

    Position Summary

    The Library Technical Assistant II – Acquisitions and Special Collections supports all aspects of print and digital acquisitions including ordering, receiving, confirmation and processing for the Golden Library.  The Assistant also provides support and staffing to Archives and Special Collections with a range of archival projects, compiling data and digitizing materials.  

    Duties and Responsibilities: 

    Working in a team-oriented environment, the Library Technical Assistant will:

    • Enter and update annual collection development budget into the integrated library system (ILS).
    • Tracks collection development matrix spending and reports monthly balances to liaison librarians.
    • Perform acquisition duties including ordering, tracking, receiving, and processing.
    • Complete physical preparation and accounting paperwork for invoices and monthly preparation of payment documents for university accounting.
    • Complete OCLC Worldshare acquisition processes of ordering, receiving, and invoicing.
    • Supervise the receipt and routing of all materials sent from vendors and publishers.
    • Compile, input and format data on collection material and collection activities.
    • Serve as the contact point for collection development librarian liaisons and faculty regarding acquisitions and ensures materials are ordered, received and processed for cataloging in a timely manner.
    • Assist the Archives and Special Collections Librarian with a range of archival projects.
    • Organize and arrange archival and manuscript material in alphabetical, chronological or other appropriate orders and perform routine procedures to arrange for preservation of materials.
    • Participate in the digitization, description, and upload of archival materials to discovery platforms. 
    • Scan documents and photographs, assist Archives and Special Collections Librarian with information requests, including searching in the collections, scanning documents and photographs, and supervising patron in-house use of materials.
    • Assist in outreach efforts, including providing content for the Archives & Special Collections social media and LibGuide accounts, updating archives webpages and guides, and creating exhibits as directed.
    • Participate in hiring and training student assistants; assist with daily supervision, direction and problem-solving.
    • Perform other duties as assigned.

    Minimum Job Requirements:

    High school diploma or equivalent and two years of work experience and/or undergraduate education in a related field.  

    Preferred Qualifications: 

    • Professional or volunteer experience in a library, especially an academic library and/or a special collections department or archives.
    • Proficiency in the use of automated library and discovery/archival systems (e.g. OCLC Worldshare, PastPerfect, ArchivesSpace, EBSCO EDS, Biblioboard, etc.).
    • Understanding of and experience with digital asset management systems and metadata standards.
    • Shelving experience in a library using the Library of Congress (LC) and Dewey Decimal call number classifications.
    • Knowledge of local, regional and New Mexico history.

    Summary

    Responsible for ensuring that Miller Library continually provides high-quality, robust access to its electronic services and resources.

    Duties
    1. Investigates, recommends, implements, manages, and troubleshoots access to electronic library resources, including databases, e-books, and other applications. Ensures that electronic resources maintain compatibility with existing library systems.
    2. Establishes and maintains relationships with vendors to learn about relevant new products and services.
    3. Serves as the liaison between Miller Library and WNMU’s IT and Online / Distance Education Departments. Coordinates new software releases and evaluates the functionality of electronic product features.
    4. Assists with library instruction, especially in the creation and delivery of online instruction materials.
    5. Responsible for the development, implementation, maintenance, and advancement of digital projects and collections.
    6. Works with Technical Services personnel to maintain and optimize the library’s ILS operations.
    7. Regularly participates in Reference Desk shifts by providing general and specialized reference assistance to library patrons. Assists in the development and delivery of new services made possible by emerging technologies. This includes but is not limited to reference services, library instruction, self-paced tutorials, and making library resources available for faculty to integrate into their LMS course sites.
    8. Updates the library website through the University’s CMS.
    9. Participates in library and WNMU committees.
    10. Provides a broad range of administrative and supervisory functions. Supervises assigned staff in accordance with WNMU personnel practices including recruitment, training, performance evaluation, guidance, etc. Participates in the process of ongoing personal and professional development. Maintains comprehensive communication among all contacts (internal and external). Models professional standards and ethics in accordance with WNMU philosophy.
    11. Performs other duties as assigned.
    Education/Background

    Bachelor’s degree with 3 years of library experience required. Master’s degree in Library Science or related field preferred. Bilingual (Spanish) preferred.

    Job Knowledge

    Knowledge using Integrated Library Systems and library services platforms, with an emphasis on Ex Libris products Alma and Primo. Current knowledge of the ecosystem of electronic resources. Knowledge of Western New Mexico University’s mission, goals, and objectives for student educational opportunities. Must have strong written and verbal communication skills. Ability to work effectively with a wide range of constituencies in a diverse community including staff, faculty, students, and public patrons. Skill in operating a variety of library equipment, including microfiche/microfilm readers and printers, photocopiers, computerized catalog systems, networked computers and printers, barcode scanners, label printers, and audio-visual equipment. Skill in maintaining confidential records and files. Must be knowledgeable of university policies and procedures. Must be able to handle multiple deadlines and maintain accuracy. Must be sensitive to cultural differences within the University and community. Fluent in Microsoft Office Applications.

    Normal library environment which requires flexible schedule that includes some evenings and weekends. May be required to lift, push, or pull carts of books, normal office equipment, books, and materials.
