POSITION SUMMARY

The College of University Libraries & Learning Sciences (UL&LS) is seeking a professional, self- motivated individual to fill the position of Administrative Assistant 3. This individual will have excellent communication skills, be able to problem-solve, is detail oriented and has experience providing executive level administrative support. The successful candidate will have the ability to set and manage priorities and adapt to change and last-minute work assignments and will serve as the first line of communication for the Dean’s Office. The Administrative Assistant 3 will be responsible for opening and closing the office, will provide a wide range of support responsibilities including front desk and phone reception; scheduling/calendaring for the dean of the college; assisting faculty, staff and students; creating and distributing committee agendas and meeting minutes; filing; mail distribution; assisting with student hiring and offering overall support to the college employees. This position will also assist with event planning. Duties may include arranging caterers, scheduling rooms, handling room set-up, monitoring RSVPs and the occasional staffing of events. We seek a skilled professional with strong experience who enjoys working in a team environment.

The Dean's Office team supports activities for the three central campus libraries, the UNM Press and OILS, a credit course program. The successful candidate will:

KNOWLEDGE, SKILLS AND ABILITIES

  • Experience providing executive level
  • Ability to provide exemplary customer service and reception skills associated with front desk support including the ability to identify needs, provide prompt response and exercise confidentiality, respect and professionalism in all
  • Excellent written and verbal communication
  • Ability to compose and prepare written documentation and correspondence for the office, screen and evaluate incoming and outgoing correspondence and prepare as
  • Advanced computer skills, including but not limited to: Microsoft Office programs, Outlook calendar and email, and a range of internet
  • Proven experience with the detailed planning of complex events and coordinating/tracking all elements from vendor obligation through to completion

MINIMUM EDUCATION REQUIREMENTS

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
